School and university communications offices coordinating many departments

Social media for schools and universities, with communications in control

Departments, programs, and clubs all want to post, but the institution's name is on every account. SocialHandoff lets departments draft with AI assistants while the communications office approves everything, and records each decision in an audit log.

Universities run dozens of accounts with inconsistent voice and uneven care. Student names and photos go out without checks, announcements conflict with official messaging, and when something goes wrong, nobody can reconstruct who posted what.

How to do it

  1. Department keys Each department gets an agent key scoped to the accounts it may draft for, with draft permission only.
  2. Institution rules Brand memory holds naming rules, accessibility requirements, and topics reserved for central communications.
  3. Central approval Communications staff approve in one inbox, with multi-reviewer approval on Pro for sensitive posts.
  4. Accessibility by default Guardrails require alt text on every image before a draft can be approved.
  5. Accountability The hash-chained audit log records who drafted and approved each post.
Applications for the 2027 summer research program are open. First- and second-year students work with a faculty mentor for 10 weeks, paid. Info session Thursday at 16:00 in the library, room 204, and online. Apply by March 1.

Many voices, one institution

Education institutions have a decentralized content problem. The chemistry department, the admissions office, and the chess club all have something worth sharing, but the institution carries the reputational risk. SocialHandoff lets content come from everywhere while approval stays central.

Setup

  1. Connect institutional accounts: LinkedIn for alumni and partners, X, Bluesky, and Mastodon. You can also connect Threads, Facebook Pages, Instagram, and TikTok once Meta and TikTok have reviewed your developer app.
  2. Consider self-hosting on institutional infrastructure if policy requires data to stay on campus. Tokens are encrypted at rest and the service runs as non-root; see security.
  3. Write institution rules into brand memory: official names, consent requirements for student photos, and topics only central communications may address.
  4. Departments connect assistants such as ChatGPT or Claude Desktop.

Permissions

Departments: draft only. Communications: schedule and approval. A reporting agent with analytics can compile monthly summaries. Keep all department agents draft-only on the trust ladder.

Measuring results

Tag links to admissions, events, and program pages with the UTM builder. Per-post metrics show reach where networks return them. Compare by department to see which programs connect with audiences.

Pitfalls

  • Student privacy. Never let a draft name a student without consent; put this in brand memory and check at approval.
  • Crisis messaging. During an emergency, use the kill switch so scheduled celebratory posts do not go out.
  • Inconsistent names. Put the official name of each school and program in brand memory.
  • Semester rush. Admissions deadlines and graduation week bring a flood of drafts. Plan them a month ahead and spread approvals across two or three reviewers.

Templates: event announcement, anniversary post, webinar promotion.

Frequently asked questions

Can departments post without central approval?
Not by default. Department agents are draft-only, and communications staff approve every post unless you choose to promote an agent.
Can we host it on our own servers?
Yes. SocialHandoff can be self-hosted with Docker Compose or an all-in-one image, free with no limits.
Does it help with accessibility?
Yes. The missing alt text guardrail blocks any image post that lacks a description.
